other publications for the
year 2012-13.
Dear
Sir,
The National Meteorological &
Seismological Documentation Centre - NMSDOC (HQ Library) has proposed to call
for sealed quotations for finalizing the contract for binding of books /
journals & other publications for the year 2012-13.
2. In
case your firm/agency desires to participate in the tender, you may submit your
rates in the enclosed Performa and may be sent to this office NMSDOC (HQ Library)
4th floor in a sealed cover super scribed with" Tender for binding of
books / journals & other publications etc;" latest by 10.05.2012. The
quotations will be opened on 11.05.2012
at1600 hrs in Room No. 410, Mausam Bhawan, Lodi Road, New Delhi¬110003 in the presence of your
firms representatives, if any.
3. The
firm/agency will be required to submit one sample of half leather binding with rexene and golden printing etc. when rates are finalized by
this office. No payment will be made for the sample binding work. The decision
of this office regarding rates etc. will be final and this library is not bound
to accept the lowest quotations.
4. The
details of the tender for binding work with terms & conditions are enclosed
herewith.

THE DETAILS OF THE TENDER FOR BINDING OF
BOOKS/JOURNALS &
OTHER PUBLICATIONS ETC.
1. Books/Journals & other
publications etc. to be got bound as per their sizes is
divided into two categories as under :- .
Category
I:
Scientific Books, Journals & Weather Reports in standard size
ranging
from 22.00 x 15.00 cm to 37.00 x 25.00 cm.
Category
II: Large size publications ranging
in size from 37.00 x 25.00 cm to 60.00
x 45.00 cm.
2. We would require high quality work to be done ensuring all the
specifications of library binding listed below:
(i) The spine and corners of the volumes are to
be bound with leather. Leave 1" & 2”
blank space at the top & bottom respectively of the
publications for fixing bar code
&
spine labels at the place.
(ii) Binding of
all the publications should be done by using Rexene cloth of good
quality. Hard board of good quality should be used.
(iii) Title and volume number etc. are to be legibly
printed in gold letters on the spine of
each volume in English and Hindi as the case may be and
printing should be sharp.
(iv) Complete flexibility in turning over pages while consulting the bound
publications
would be required to enable their photocopies to be
taken -in full and with sufficient
margins on each
side.
(v) Good stitching & gluing to be done and
material used should be of high quality
(vi) Ant moth treatment is to be given to the
material used for binding. Only special glue
which are
insect resistant should be used.
3. Terms and
conditions regarding binding work :
(i)
The tenderer should be a reputed binder having sufficient
experience and
expertise in the relevant field
(ii)
Books / Journals
& other publications must be
returned within a period of 60
days or earlier.
(iii)
For safe custody
of the publications, till the binding work is over a "Certificate of
Undertaking” has to be signed. In the event of any loss or misplacement of any
book(s)/journal(s) or any other publication(s) the cost of such publications(s)
will be recovered as may be decided by this office.
(iv)
Binder must have
his own bindery with all the binding tools as well as the arrangements for
printing title, in Hindi and English. The tenderer
should have a well-established office/shop. Any designated representative of
IMD library can visit their office/shop for inspection at any time before or
after finalization of contact.
(v)
The tenderer should provide the name and Telephone/Mobile No.
of their office/person who can be contacted at any time, even beyond office
hours and on holidays.
(vi)
The tenderer may quote the
rates according to the size of the books/journals & other publications as
per Category I & II given under para 1 above.
(vii)
The size and
shape of the oversized books/documents may be taken into account while binding
them. Any book/document found to be defective in any way or not of desired
quality will have to be rectified by the firm without any extra charges and
bill will be passed, after rectification. Price of books/ documents damaged in
the process of binding will be charged from the firm and the decision of the Incharge of the Library in these cases will be final.
(viii) All the materials used in binding should be of very
good quality. Quality & thickness of the pages should be taken into
consideration while stitching. The volumes should be chronologically arranged
before stitching.
(ix)
Thickness of the cardboard used will be
according to the size and number of
pages of
the books/journals/publications. Thread and tape used in binding will be
of
unbleached linen.
(x)
The rates quoted
by the selected firm and approved by this office shall be valid throughout the
period of contract and binding upon the firm.
(xi)
The rates quoted
by the firm should be inclusive of all charges. No separate charges will be
paid by this office for delivery of goods or for any other taxes paid by the
firm.
(xii)
In case the work is not up to the required
standard, the contract will be cancelled and awarded to the next higher tenderer .
(xiii)
If books/journals
are found to be incomplete or badly damaged these may be returned to the
Library without binding.
(xiv) The tenders should be sealed & clearly super
scribed with the words “Tender for Binding of Books/Journals & other publication
etc” and addressed to: “The Director/Scientist ‘D’ (Publication Section), Room No 405, Mausam Bhawan, Lodi Road, NEW
DELHI - 110003.
(xv)
The tender(s)
received after the expiry of the prescribed date and time will not be
entertained in any circumstances.
(xvi) This office will have the full authority to reject
any/all offer(s) without assigning any reason thereof. Any enquiry after
submission of the tender will not be entertained.
(xvii) The tenderer will have to submit
one sample of binding work of publication with the desired specifications when
rates are finalized by this office. They may contact the library along with the
(xviii) letter for obtaining sample for binding work on all working
days between 1000 to 1800 hrs. No payment will be made for sample binding work.
(xix) The decision of this office regarding award of the
contract, rates etc, will be final and this library is not bound to accept the
lowest rates.
(xx)
The contract
shall be valid for a period of one year from the date of award of contract.
This office will, however, reserve the right to conduct performance review at
any time during the period of contract and deficiencies, if any, noticed will
be required to be rectified and compliance reported. This office further
reserve the rights to suo-moto terminate the contract
by giving one month’s notice at any time.

Dear Sir,
This office would like to invite the
quotations for procurement of book(s) for its H.Q. library at New Delhi. A list of 14 books is enclosed herewith. You are requested to kindly see whether the
book(s) are available in ready stock. In
case the book(s) are not available in ready stock then time taken to procure
the book(s) may be indicated. In case the books are not supplied within the
stipulated period, as mentioned by you, then the order shall be treated as
cancelled. The price of each book, discount allowed & net price after
discount for each book in Rupee may be given in the quotation, otherwise
the quotation will not be taken into consideration. Any increase in price or
enhancement in exchange rate at the time of supply of book(s) will also not be
taken into consideration. A copy of the publisher’s price proof of books
and bank exchange rates may also be enclosed. It may be mentioned here that this may not be
treated as an order.
For
purchase of books as per list attached, you are requested to kindly send your
quotation in a sealed cover super scribed "QUOTATIONS FOR PURCHASE
OF BOOKS for H.Q. LIBRARY" so as to reach the undersigned latest
by 27.04.2012.
The undersigned reserves the right
to cancel one or all the quotations without assigning any reason thereof.
